KIDSNET information for Healthcare Providers

KIDSNET is Rhode Island's confidential, computerized child health information system. KIDSNET serves families, pediatric providers, and public health programs.

Benefits to You

• Easy access to important patient medical information, such as immunization records, results from metabolic, hearing, and developmental risk assessments for newborns, and results from lead tests, and to other patient information, such as home visiting and participation in the Early Intervention and WIC Programs.
• Accurate preventative healthcare histories for new patients. This can be useful when parent or guardian does not have this information.
• Data for clinical management. Most children’s data are also available to help you manage your patients' care.
• Less staff time spent on routine requests. For example, you can print immunization records from KIDSNET to meet school requirements.
• Tools to assist with quality care. KIDSNET allows you to run lists of patients who are behind on immunizations and lead screening, so that you can follow up and order appropriate tests at the next visit. KIDSNET also provides an immunization algorithm that identifies invalid doses, next dose due, and overdue doses.

Cost

There is no cost to participate in KIDSNET. The only equipment required is a computer with access to the Internet. KIDSNET provides postage paid envelopes that is used to mail data and other information to KIDSNET as often as needed.

What You Should Do

All Rhode Island providers who are receiving State Supplied Vaccines (SSV) for individuals younger than 19 years old participate in KIDSNET. Participating in KIDSNET is a simple process for many practices. The process is the same for one or more locations.

Enroll

You must enroll in the SSV program every year using your KIDSNET login (if you are a current user) or your SSV login (if you do not yet have access to KIDSNET). If you see children younger than 19 years old and enroll with your SSV login, you will receive a user agreement to participate in KIDSNET. As part of the enrollment process, all users in the office must sign confidentiality and user agreements. (enroll)

Get Access

KIDSNET staff will provide you with a user ID and password as well as training on how to access and navigate the web-based system to search for patients, view your patients’ immunization histories, blood lead tests, and other results, and run reports.

Each practice must assign an Office Administrator who is responsible for:

• Assuring that each user in the office has a user ID and password;
• Having all users in the office sign a confidentiality and user agreement;
• Assigning new user IDs and passwords to new staff members; and
• Terminating user IDs and passwords when a staff member leaves employment.

If the Office Administrator is unavailable to assign a user ID to a new staff member, you can contact KIDSNET for assistance.

Submit Data

KIDSNET will work with your office to collect all demographic and immunization histories from all patients in the practice born on or after January 1, 1997. KIDSNET will also work with you to establish an ongoing process to submit data. There are two ways to submit current immunization data for vaccines given to all patients younger than age 19:

• Electronic Data Exchange: KIDSNET staff can assist your office in the implementation of an electronic transmission of immunization data. (more)
• Data Sheets: KIDSNET staff can provide your office with personalized data sheets that include all state supplied vaccines as well as prepaid envelopes.

Run Reports

KIDSNET is a web-based application that allows providers to generate reports of patients in the practice at any time. (Login) There are currently seven reports available in KIDSNET.

• Patient List: A list of all the children in your practice. You can also run this report to identify certain age groups.
• Children without a Lead Screening : Children in your practice born after 1/1/1997 who may have never received a lead screening.
• Children Due for a Second Lead Screening: This report generates a list of patients in your practice who have been screened for lead once, with a result < 10 mcg/dl, who are due for a second blood lead screening.
• School Eligible: Children in your practice who are eligible to enter school.
• Immunization: Children in your practice who may be behind on immunizations. You can run this report by age or by vaccine type.
• Newborn Summary Report: Basic preventative health information from the birth hospital; report includes immunization information and newborn screening results.
• Seasonal Influenza Reports: A list of all children in your practice needing the first or second seasonal dose of the influenza vaccine.
• Immunizations Submitted to KIDSNET by other Providers: Immunizations that children in your practice have received elsewhere such as in a RI birthing hospital, school clinic, emergency department, travel clinic, walk-in medical facility, or other location.
